Touring wedding venues is one of the most exciting steps in the planning process, but it can also be overwhelming. Beautiful spaces, styled tables, and glowing photos can make it easy to fall in love quickly. However, asking the right questions during your venue tour is essential to avoid surprises later and ensure the space truly fits your vision, budget, and expectations.
A wedding venue sets the tone for your entire day and often represents one of the largest investments in your wedding budget. This guide walks you through the most important questions to ask venue owners or coordinators during your tour so you can make a confident, informed decision.

Pricing and Hidden Costs
One of the very first topics to address is pricing. While many venues advertise a base price, not all costs are always included upfront.
Ask if there are any upcharges beyond the quoted package price. Some venues charge extra for setup and teardown, extended hours, use of certain spaces, or additional staff or even hefty service fees. Clarify whether pricing is all inclusive or if certain features are optional add-ons.

It is also important to ask about service fees, cleaning fees, or administrative charges. These can add thousands to your final cost if you are not prepared for them. Request a full breakdown of what is included in writing so you can accurately compare venues.
Luckily some venues like The Old Barnes at Dry Run Farms gives a base upfront price with no hidden costs or additional fees and our pricing is honest and upfront and visible on our pricing page.

Availability and Access
Understanding how much time you actually have at the venue is crucial. Ask what time access begins on your wedding day and when everything must be cleared out. Some venues offer only a limited window, which can create stress during decorating and cleanup.

If you are interested in a multi-day or full weekend experience, ask if that option exists and what it includes. Having access the day before or after can dramatically change your planning process and overall experience.
Also ask whether the venue hosts more than one event per day or weekend. A venue that books only one wedding per weekend often offers a more relaxed and private atmosphere.
At The Old Barns at Dry Run Farms, we only host one wedding per weekend with the option to host a full-weekend wedding with lodging included. Our Full Weekend Package includes access to the Venue Friday from 9am-8pm for decorating, rehearsal and rehearsal dinner. On wedding day, access starts at 7am and you have until 11pm on wedding day. Time on Sunday is also given in order to grab items that you brought with you and return any borrowed decor to the decor room. Our Create-Your-Own wedding package starts with a one day option with the ability to add on the pieces that you desire to create the wedding vision that works for you and your budget.
Ceremony and Reception Options
Many venues offer multiple ceremony locations, both indoor and outdoor. Ask where ceremonies can be held and what backup options are available if weather becomes an issue.
Clarify whether moving the ceremony location last minute comes with any additional costs or logistical challenges. It is also helpful to ask how the transition from ceremony to reception works. Will guests remain in the same space or move elsewhere? How long does the flip take and who handles it?

Guest Capacity and Comfort
Guest count plays a major role in venue selection. Ask the maximum guest capacity for both seated dinners and cocktail style receptions. Make sure the number is comfortable and not just the legal maximum.
Ask how many guests can fit while still allowing space for a dance floor, buffet tables, bar lines, and guest seating. A room that technically fits your guest count may feel crowded once everything is set up.
Also ask about climate control. Is the venue heated and air conditioned year round? Guest comfort is especially important for summer weddings, winter celebrations, and guests with mobility or health concerns.
At The Old Barns at Dry Run Farms, we can seat up to 280 guests over two floors. Our main level comfortably seats up to 190 plus your sweetheart table or head table. Upstairs there is extra seating overlooking the dance floor. Our table layout allows room to move between tables and plenty of space for buffet, dessert and bar areas. We are also happy to report that we are fully climate controlled so that your guests are comfortable and can comfortably stay and celebrate you until your last dance!

Furniture, Decor, and Setup
Furniture can be a major expense if it is not included. Ask what tables and chairs are provided and how many are included. Clarify whether linens are required or optional based on the furniture style.
Ask if the venue offers a decor closet or complimentary decor items such as table numbers, signage, votives, or easels. Having access to these items can save both time and money.
It is also important to ask who is responsible for setting up and tearing down furniture. Some venues include this service, while others require couples or vendors to handle it themselves.
At The Old Barns at Dry Run Farms, we've got you covered on all three categories! Our beautiful wood farmhouse tables are pretty enough that linens aren't necessary. If linens are part of your vision, by all means go for it, but if not, that is an expense that you can save. Our decor room is full of useful items that saves tons of money when decorating for your wedding. Check out our Decor Inventory page to see pictures of all of the items in our collection. Our most popular table arrangement works for a variety of guest counts meaning moving of tables isn't a common occurrence.

Vendor Policies
Every venue has different rules when it comes to vendors. Ask if the venue has an open vendor policy or if you are required to choose from a preferred list. An open vendor policy allows you to select professionals you trust and often helps keep costs down.
If there is a preferred list, ask whether outside vendors are allowed and if additional fees apply. Clarify alcohol policies as well. Ask whether the venue provides the bar, if you can bring your own alcohol, and whether a licensed bartender is required.
At The Old Barns at Dry Run Farms, we have an open vendor policy meaning you are free to hire any licensed and insured vendor to help craft the wedding you've been imagining. We do have a helpful page on our website of Recommended Vendors that offers helpful suggestions of some amazing vendors you could consider. We do not sell bar packages (which are BIG upcharges at other venues) meaning you can provide your own alcohol and hire a licensed & insured bartender to serve your guests.
Noise Restrictions and Curfews
Understanding sound limitations is often overlooked but extremely important. Ask if there are any noise ordinances or volume restrictions, especially if the venue is located near neighbors or residential areas.
Ask what time music must end and when guests must depart. If your vision includes a lively dance floor late into the evening, make sure the venue can accommodate that without penalties. Also ask if there are restrictions on live bands, outdoor music, or amplified sound.
At The Old Barns at Dry Run Farms, our Township variance requires events to end at 10:30. We do allow live bands indoors, but loud outdoor music is restricted to be respectful of our neighbors. Live instruments, however, are always welcome as well as ceremony music played by your DJ.

Lodging and Guest Experience
If the venue offers on site lodging, this can be a major advantage. Ask how many guests can stay overnight and what amenities are included. Lodging can simplify logistics for the wedding party and reduce transportation needs.
If lodging is not available, ask if there are nearby hotels and whether the venue provides shuttle recommendations or parking accommodations. Parking is another important question. Ask how many vehicles the parking area can hold and whether it is well lit and easily accessible.
At The Old Barns at Dry Run Farms, we do indeed offer lodging on property in our two restored old barns that each sleep up to ten guests. For those that are traveling for the wedding and are looking for separate lodging we do have hotels and other lodging options within 15-30 minutes drive. At the venue, we provide ample parking in a well lit gravel parking lot on site.

Insurance and Contracts
Most venues require couples to carry liability insurance. Ask whether insurance is required, how much coverage is needed, and whether the venue must be listed as additionally insured. These policies are often inexpensive but important to plan for. Our Columbus, Ohio area wedding venue works with a company called Nuptial that handles event insurance and make the process very simple with ample coverage for your wedding.
Before signing, ask to review the contract carefully. Clarify cancellation policies, payment schedules, and what happens if unforeseen circumstances arise. Do not hesitate to ask questions about contract language. A transparent venue will be happy to walk you through it.
Staff Support and Planning Assistance
Finally, ask what level of support the venue provides during the planning process and on the wedding day. Ask if there is a venue manager on site during your event and what their role includes. Some venues offer planning tools, layout assistance, and timeline guidance, which can reduce the need for a separate wedding planner.
Ask how communication works leading up to the wedding. Will you have one main point of contact? How quickly do they respond to questions? The more supported you feel during the tour, the more confident you can be in your decision.
At The Old Barns at Dry Run Farms, we enjoy being on site to make sure your wedding runs as smoothly as possible and are happy to do whatever we can behind the scenes to make sure everything gets done. We also have an Online Planner that we provide to our couples that is a helpful planning tool as well as a 30 day out meeting where we go over your timeline, vendors, venue decisions and ask and answer questions to make sure we all feel confident that everything is in place to make your wedding stress free and spectacular!
